End of Lease Guide

Your End of Lease Options

📧 Send your 90 days notice to contractmanagement@innovent.co.uk

The End of Lease Process

InnoVent recommends that our clients begin end-of-lease planning 6 months prior to the contracted end of lease date. Although this may seem a considerable length of time, there are often a number of considerations, such as the organisation’s future technology requirements, financial drivers, and operational needs.

We expect our clients to provide at least 30 or 90 days written notification as detailed in your lease agreemeent of your intention to either extend the lease or return the assets to InnoVent enabling InnoVent to plan our resources and logistics.

End of Lease notification can be sent directly to your Relationship Manager, copying our admin team: contractmanagement@innovent.co.uk

When equipment is nearing the end of lease date our clients have several options to consider, namely:

1. Return the equipment, either all the equipment or a partial return of assets;
2. Extend the lease term, either all the equipment or a selection of assets;
3. Purchase the assets at fair market valuation.

Lastly, if you are not ready to make a decision and require additional time, you can continue using the equipment by paying your existing lease rental on a quarterly basis.

As the lessee of our assets you are responsible for returning the leased assets to InnoVent unless you have chosen to purchase the assets or have requested our End of Lease Asset Collection Service (Only available to lease agreements with over 100 devices, prices are available on request).

Your responsibility includes data erasure, packing, shipping, and secure transportation to one of our nominated processing centres.

When returning any or all items please ensure the equipment has been suitable packaged to avoid damage while in transit.
We would suggest:

  • Use strong, good quality boxes, reinforced with packing tape;
  • Allow sufficient space for item(s) to be protected from impact and movement with packing material;
  • Include all associated peripheral devices and power cables;
  • Check drives and carry case compartments to ensure that no media devices such as USB drives or documents remain;
  • Provide 72 hours’ notice of ship date;
  • Include your contract reference number in the return package.

Please be aware that assets must be delivered on or before the lease end date. All equipment (including accessories, cables and chargers) must be returned in full working order and in good condition. Fair wear and tear is accepted (Please see our Product Grading Policy). All assets must be reset to manufacturers settings; assets returned with passwords and iCloud accounts are considered ‘Dead on Return’ and full replacement value will be charged.

Please complete the following form to inform InnoVent when are you returning your equipment.

Frequently Asked Questions

Can I extend my agreement?

If your leased equipment is still serving its purpose, we can extend your lease agreement.

You may benefit from reduced rental payments by requesting a formal lease extension for a fixed term e.g. 12, 18, or 24 months.

What happens if I cannot locate items on my lease?

Contact your Relationship Manager in the first instance or our admin team (contractmanagement@innovent.co.uk) to discuss options available to you. You will be invoiced for the fair market value for any items damaged or not returned at End of Lease.

Who is responsible for return equipment and delivery costs at End of Lease?

As the lessee you are responsible for the delivery and the delivery costs, we do reccomend you consider insuring the assets in-transit in case of accident, damage, or theft. If you have more than 100 devices on your lease you can take advantage of our optional collection service; please contact contractmanagement@innovent.co.uk for details.

Do I need to erase system data prior to return?

Yes, you must remove all data from data bearing assets prior to returning them. If you have more than 100 devices, you can take advantage of our optional data wiping service, where all media bearing devices will be purged to HMG Infosec Standard 5, and we will provide Blancco and data destruction certificates, and detailed condition reports after processing.

Can I retain the assets?

If the company or any employee wishes to purchase an asset, we can provide a quote upon request. Payment must be received by the lease end date.

Where should the equipment be send to?

Please contact our contract management team on contractmanagement@innovent.co.uk to discuss delivery address and process

Prior to returning your assets they must be disconnected from your accounts ie: iCloud, Find my iPad, Google Accounts etc.

If the equipment has been enrolled in any MDM programmes they must be unenrolled and all data must be erased prior to shipping back to InnoVent. This process will make sure no data or photos remain on the phones.

Failure to disconnect devices from accounts or MDM and switch off “Find my iPhone/iPad” will render them locked and unusable, resulting in InnoVent charging in full for the device.
